This Privacy Policy describes how FlockTrax handles information when you use FlockTrax-MOBILE and, where applicable, related FlockTrax administrative services.
FlockTrax is an operational software platform used by authorized poultry field and management personnel to review placements and record flock-related operating data.
For purposes of this Privacy Policy, "FlockTrax," "we," "us," and "our" refer to Smotherman Farms, Ltd. dba Mother Clucker's HenHouse, and "you" refers to the person or organization using the service.

This Privacy Policy applies to:
- FlockTrax-MOBILE
- related FlockTrax account and backend services
- related FlockTrax administrative services, where they use the same account and operational data
Information We Collect
We collect information needed to operate FlockTrax and provide its account-based field workflows.
1. Account and authentication information
We may collect:
- email address
- user account identifier
- authentication and session information needed to sign you in and keep your session active
2. Operational data you enter or manage
We may collect information entered by authorized users while using FlockTrax, including:
- farm and barn assignments
- flock placement information
- daily log entries
- mortality and cull counts
- weight entry data
- feed ticket and feed delivery information
- notes, comments, and related operational text entered by users
3. Technical and service data
We may collect limited technical information needed to operate and secure the service, such as:
- request and session metadata
- error and diagnostic information
- device or app interaction data needed for authentication, service reliability, and security
Information We Do Not Currently Intend to Collect From the Mobile App
Based on the current FlockTrax-MOBILE implementation reviewed as of May 6, 2026, the app does not appear to request or require:
- device GPS location
- contact list access
- photo library access
- microphone access
- camera access
- payment card or banking information through the mobile workflow reviewed
If that changes in a future version, this Privacy Policy should be updated before release.
How We Use Information
We use information collected through FlockTrax to:
- authenticate users
- provide access to authorized app features
- display active placements, farms, barns, and related operating records
- save and retrieve operational field data
- support permission-based access control
- maintain, secure, troubleshoot, and improve the service
- respond to support, account, legal, or compliance requests
Weather Context
FlockTrax may display weather-related context for farm locations using location data associated with farm records in the system.
This refers to business location data stored in FlockTrax records, not necessarily live GPS location collected from your mobile device.
How We Share Information
We do not sell your personal information.
We may share information only as needed to operate, secure, and support FlockTrax, including with:
- hosting and infrastructure providers
- backend service providers
- vendors or contractors who support the operation of the platform under appropriate confidentiality and access controls
- legal or regulatory authorities when required by law or to protect rights, safety, or the integrity of the service
Data Retention
We retain information for as long as reasonably necessary to:
- provide the service
- maintain operational and business records
- resolve disputes
- enforce agreements
- meet legal, tax, accounting, regulatory, or security obligations
Different categories of data may be retained for different periods depending on operational, contractual, and legal requirements.
Data Security
We use reasonable administrative, technical, and organizational measures to protect information processed through FlockTrax.
No method of transmission over the internet or method of electronic storage is completely secure, but we work to protect data in transit and within the systems we operate or manage.
Account Deletion and Data Deletion
If your FlockTrax account supports self-service deletion, you may request account deletion from within the mobile app using the in-app Delete Account option.
When available, this process is intended to allow you to request deletion of your account and associated data, subject to any retention obligations, security requirements, or legal exceptions that apply.
If you cannot access the app or need help with deletion, you may contact us using the contact information below.
We may retain certain information where necessary for legitimate business, security, fraud prevention, contractual, accounting, or legal compliance purposes.
Your Choices
Depending on your role and relationship to the service, you may be able to:
- review or update certain account information through your administrator
- request account deletion through the app
- contact us regarding privacy or account concerns
Children's Privacy
FlockTrax is intended for business and operational use by authorized personnel and is not directed to children.
Third-Party Services
FlockTrax may rely on third-party infrastructure or service providers to support authentication, hosting, delivery, or platform functionality.
If third-party services are used, their handling of information is governed by their own applicable terms and privacy practices where relevant.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time.
If we make material changes, we may update the effective date and, where appropriate, provide notice through the service or by other reasonable means.
